Role-based addresses such as info@, sales@, support@, or admin@ can also be valid but require judgment. They are useful for business announcements, press releases, and vendor communications when the recipient expects them. They are less suitable for personalized outreach that depends on reaching one named person.
Finally, sending reputation affects real-world deliverability after verification. Verification can reduce invalid destinations, but it cannot fix misleading subject lines, missing permission, poor engagement, or a sudden jump from a few hundred messages to tens of thousands. A Practical List-Cleaning Workflow
The best time to verify is before a campaign is built, not after bounce reports arrive. Start by exporting or importing your contacts into a working copy of the list. Keep the original file intact so you can review decisions later, especially when a customer record contains useful purchase history or consent details.
First, remove exact duplicates. Multiple copies of one address do not create more opportunities. They can annoy recipients, inflate list size, and make campaign reports less useful. Standardize obvious formatting issues too, such as accidental spaces before or after an address.
Then run verification and organize contacts by outcome. You do not need a complicated system. In most cases, four working groups are enough:
- Deliverable addresses that can stay in the main sending list.
- Invalid addresses that should be removed or suppressed from future mailings.
- Unknown or temporary results that should be reviewed or retried later.
- Catch-all, disposable, or role-based addresses that need a campaign-specific decision.
Do not treat cleanup as permission to contact anyone in the file. Verification checks technical status, not consent. Continue to use the subscription, customer relationship, or business purpose that allows you to send. A technically valid address without permission can still lead to complaints and poor engagement.
For recurring communication, repeat the process on a schedule. A monthly newsletter may benefit from checking new imports before each send and reviewing bounces after every campaign. A large quarterly announcement may justify a full list verification several days before launch, leaving time to resolve uncertain records and rebuild segments.

Clean data is most valuable when it changes what you do next. Remove confirmed invalid contacts from the active campaign, but retain a suppression record when appropriate so the same address is not imported and mailed again later. For uncertain addresses, consider a controlled approach. Send first to your confirmed deliverable segment. Use the context you have: the source of the contact, the type of campaign, the importance of the recipient, and the risk you are willing to accept.
